Infinitum Digital evolves Grup Mutuam's Intranet: universal and personalized access, and efficient and collaborative management.

Infinitum Digital has designed and implemented the digital strategy to optimize the intranet of Grup Mutuam. This strategy aims to allow all employees to register and access the intranet from any device, with personalized information and profiles. Additionally, it aims to highlight corporate news and categorize information by groups, integrate essential tools for document management, employee activity, and meeting spaces. Its modern and adaptable design enables an intuitive organization and decentralized management to simplify content editing.

The customer

The Mutuam Group is a non-profit organization that operates in the field of healthcare and social care in Catalonia, Spain. Its main objective is to offer health services, geriatric care, and social support to elderly people, dependent individuals, and people with chronic diseases. The organization manages a variety of centers and services, including nursing homes for the elderly, day centers, home care, socio-sanitary hospitals, and primary and specialized care programs.

Mutuam also works in health insurance management for groups and elderly people, and collaborates with public and private institutions to provide comprehensive care that promotes the quality of life of its users. In addition, it is committed to innovation in the social and health sector and to the continuous training of its professionals.

The objectives

To make its intranet more dynamic and truly effective, Grup Mutuam commissioned Infinitum Digital to define and develop a digital strategy aimed at offering integrated services to its more than 1,300 employees throughout Catalonia that meet the following objectives:

· Register and grant access to all employees from any device, allowing them to access their profile and customize the information for each employee.

· Enhance corporate news by categorizing information for each target audience.

· Integrate key tools for document management, employee activity, meeting spaces, and materials.

· Implement a modern design, adaptable to any device, with an intuitive organization of the contents.

· Decentralize editorial management to facilitate content contribution.

The project

New intranet of Grup Mutuam: collaborative solutions for effective teamwork

Concept and definition of the new intranet

Infinitum Digital has analyzed the communication needs and identified issues in the intranet architecture. They have carried out a conceptualization process that prioritizes the elements of the prototypes and the navigation elements (type, accessed content in each case, etc.).

The new information architecture organizes content to enhance communication strategy, segmenting access to information and establishing hierarchical relationships. Clear taxonomies are created to facilitate navigation through a participatory process. Card Sorting And alternative routes are implemented for cross-navigation. In addition, future growth is anticipated and designed from the beginning for all devices, such as mobile, desktop, and tablet.

Prototyping sessions are carried out based on communication strategy and information architecture, using the Responsive Web Design approach. The result is evaluated through wireframes that are tested with stakeholders or external users to validate the final solution.

A functional technical document is generated where all the information is collected.Legacyfrom the intranet, migration paths, and the necessary functionalities to be implemented or recovered in the new project.

Centralized access to the platform

The system must allow registration and access for all employees through a centralized integration. For this purpose, the intranet will be accessible from any device, adapting to the different connection methods of each user. Upon access, employees will find personalized information relevant to each one. Furthermore, through a Single Sign-On integration, the profiles of the organization's members are obtained.

Relevant and categorized information

To improve internal information, corporate news and news from various areas of the Mutuam Group are enhanced, with information categorized according to areas of interest for each group. This allows for offering more relevant and specific content. In addition, videos and interactive materials are included to make the presentation more engaging.

Decentralized editing and optimized user experience

To facilitate quick and easy editing, content management of the Intranet is carried out in a decentralized manner. Information is organized according to users' needs to enhance intuitive navigation. Furthermore, an improved user experience is designed with a modern layout that is adaptable to all devices, increasing the tool's usage.

The tools that the employee needs, always at hand.

The intranet provides access to tools and applications that the employee uses daily. It is integrated with document management, the employee portal, the Mutuam Campus, calendars, and room reservations. A notification system is also implemented to send relevant information to members according to their profile.

The solution: a flexible and easily integrable platform.

Based on the digital strategy proposed by Infinitum Digital, Grup Mutuam has adopted the Ibexa DXP solution to create the platform on which its new intranet is based. In addition, the project is being developed in three phases that progressively incorporate the different advanced functionalities of the intranet.

Phase 1

Creation, access to the platform, and advanced functionalities:
